Introducing Our New Organizations Feature: Enhancing Your Control over Meeting Recap Privacy

Dear Users,

We have some important information to share with you.

On Tuesday night, we launched our new Organizations feature. This significant update affects all users and is the largest milestone in our product's development to date. You can read more about Organizations (which function like teams) and their benefits here.

In our continuous effort to protect the privacy of our users' meetings, we made the decision on July 12th to set the privacy setting of all previous meeting recaps in our system to "Invitees Only." By default, this means that you will only have access to a meeting recap if you were the host of that meeting or were included on the original Google Calendar invitation. Please note, this is only for past meetings. The privacy settings for your future meetings will be determined by your account's global settings (instructions provided below).

So, if you've had a private conversation with your HR representative, rest assured that the rest of your Organization will NOT have access to that meeting recap.

As a member of an UpdateAI Organization, you have full control over your recap privacy.

How to Change the Global Privacy Settings of Your Recaps:

1. Go to the 'My Organization' tab in settings.

2. Click on 'Select who can access each recap.'

3. For both internal and external meetings, select your default preference.

How to Adjust the Privacy Setting of Each Individual Recap:

You have the option to override your global privacy settings on a per-recap basis.

1. Go to your recap.

2. Select "Visibility Config."

3. Select your desired setting under "Organization Visibility" from the dropdown menu.

How to Delete a Meeting Recap:

If you wish, you can permanently delete a meeting recap. This action ensures no one will see it, even if they were previously shared a link. To do this, locate the trash can icon on the meeting recap page.

Are My Upcoming Meetings Shown to the Rest of My Organization?

You will only see the meetings that you host or have been invited to in your upcoming meetings dashboard.
